Bid & Purchase Reserve Policy

Important Summary
- No bid will be placed until the required Purchase Reserve has been received.
- Payment must be received by 15:00 JST on the business day before the auction.
- Funds must be received, not merely sent. Payment proof alone is not sufficient.
- After a successful bid, cancellation is not accepted as a general rule.
1. Overview
CarBike Japan provides vehicle sourcing, market review, bid coordination, proxy bidding support, and export-related support for overseas buyers who wish to source cars or motorcycles from Japan.
This policy explains the rules for Purchase Reserve, bid approval, payment deadlines, successful bids, unsuccessful bids, and related costs.
2. No Purchase Reserve, No Bid
CarBike Japan will not place a bid unless the required Purchase Reserve has been received and confirmed by CarBike Japan before the stated deadline.
A payment screenshot, bank transfer request, remittance receipt, or transfer instruction does not by itself mean that payment has been received. Payment is considered received only when cleared funds are confirmed by CarBike Japan.
3. Purchase Reserve
Purchase Reserve is the amount required before bidding. It is applied toward the approved vehicle purchase and related costs.
Purchase Reserve may include:
- Approved maximum bid amount
- Estimated auction fees
- CarBike Japan sourcing or full support fee
- Route-specific handling costs, if applicable
- Estimated actual costs
- Buffer for exchange rate, bank fees, or minor cost changes
The final amount may vary depending on the vehicle, auction route, auction result, fees, exchange rates, bank fees, and actual service requirements.
4. Payment Deadline
Purchase Reserve must be received by 15:00 JST on the business day before the auction, unless an earlier deadline is specified by CarBike Japan.
Some vehicles, auction routes, transport arrangements, or export arrangements may require an earlier payment deadline. If an earlier deadline is required, CarBike Japan will inform the buyer before bidding.
If payment is not confirmed by the deadline:
CarBike Japan will not place the bid. CarBike Japan is not responsible for missed auction opportunities caused by late payment, delayed bank transfers, payment provider delays, incomplete remittance information, or insufficient funds.
5. Bid Approval
Before CarBike Japan places a bid, the buyer must approve the vehicle, maximum bid amount, estimated costs, Purchase Reserve amount, and cancellation conditions.
Sample approval wording:
I approve CarBike Japan to bid up to the approved maximum bid amount for this vehicle. I understand that if the bid is successful, the purchase is final and cancellation is not accepted as a general rule. I understand that CarBike Japan will only place a bid if the required Purchase Reserve has been received by the stated deadline.
6. If the Bid Is Successful
If the bid is successful, the buyer is responsible for the approved purchase. The Purchase Reserve may be applied toward the winning price, auction fees, CarBike Japan fees, route-specific handling costs, transport, export, storage, bank fees, and other actual costs.
After a successful bid, cancellation is not accepted as a general rule. Any remaining balance must be paid before export processing, vehicle release, document release, or handover to a buyer-nominated forwarder or agent.
7. If the Bid Is Not Successful
If the vehicle is not purchased, the unused Purchase Reserve may be carried forward to future bidding attempts or refunded upon request.
Refunds may be reduced by bank fees, payment processing fees, currency exchange differences, inspection costs, translation costs, special research costs, document costs, and other actual costs already incurred.
No successful bid, no sourcing fee.
8. Exchange Rates and Bank Fees
USD prices shown on the website are launch pricing estimates. Final invoices and Purchase Reserve may be calculated in Japanese yen. Actual payment amounts may vary depending on exchange rates, bank fees, payment provider fees, and payment timing.
Any shortage caused by exchange rate differences, bank charges, payment provider fees, or intermediary bank fees must be paid by the buyer before bidding, export processing, vehicle release, or document release.
9. Actual Costs
Vehicle price, auction fees, auction route or handling costs, inland transport, storage, export, shipping, insurance, bank fees, documentation, destination-side taxes, customs duties, registration costs, and other actual costs are quoted separately and remain the buyer’s responsibility.
