Cancellation Policy

1. Before Purchase Reserve Payment

The buyer may cancel a request before Purchase Reserve payment is made. No CarBike Japan sourcing fee will be charged at this stage unless special paid work has already been agreed and performed.

Special work may include detailed research, translation, inspection, additional photos, additional videos, urgent handling, or other requested services.

2. After Purchase Reserve Payment but Before Bid Approval

If the buyer cancels after Purchase Reserve has been paid but before Bid Approval and bid placement, the unused balance may be refunded upon request.

Refunds may be reduced by bank fees, payment processing fees, exchange rate differences, inspection costs, translation costs, document costs, special research costs, and other actual costs already incurred.

3. After Bid Approval

Once the buyer has approved the bid conditions, CarBike Japan may proceed with bidding based on the approved vehicle, approved maximum bid amount, Purchase Reserve, and agreed conditions.

After Bid Approval, cancellation may not be accepted if CarBike Japan has already placed the bid, instructed an auction route, arranged bidding, or incurred costs in preparation for the approved purchase.

4. After Bid Placement

Once a bid has been placed, cancellation is not accepted as a general rule. The buyer is responsible for the approved bidding instruction and any result arising from that approved bid.

CarBike Japan does not guarantee that a bid can be withdrawn after it has been placed. Auction venue rules, timing, system restrictions, and seller conditions may prevent cancellation or withdrawal.

5. After Successful Bid

After a successful bid, cancellation is not accepted as a general rule.

The buyer is responsible for the approved purchase, including the winning price, auction fees, CarBike Japan fees, route-specific handling costs, transport, storage, export, shipping, bank fees, and other actual costs.

Vehicle release, document release, export processing, or handover to the buyer’s nominated forwarder, yard, carrier, customs broker, or agent will not proceed until required payment has been fully confirmed.

6. Limited Auction Cancellation Window

Some auction venues may allow cancellation only within a limited time window and subject to penalties, auction fees, or other conditions.

Even if such a cancellation window exists, CarBike Japan may decide whether to request cancellation based on the situation, available time, auction rules, financial risk, and operational feasibility.

Any cancellation penalties, auction fees, resale losses, storage fees, transport costs, administrative costs, bank fees, and other related costs will be borne by the buyer and may be deducted from the Purchase Reserve.

7. If the Buyer Fails to Proceed

If the buyer fails to proceed after a successful bid, refuses to pay, delays payment, becomes unreachable, or otherwise fails to complete the approved purchase, CarBike Japan may apply the Purchase Reserve toward losses and actual costs.

Purchase Reserve may be applied to:

  • Auction fees
  • Cancellation penalties
  • Resale losses
  • Storage fees
  • Transport costs
  • Administrative costs
  • Bank fees and payment processing fees
  • Exchange rate losses
  • Document costs
  • Other actual costs incurred

8. If the Bid Is Not Successful

If the vehicle is not purchased, the unused Purchase Reserve may be carried forward to future bidding attempts or refunded upon request.

Refunds may be reduced by bank fees, payment processing fees, exchange rate differences, inspection costs, translation costs, document costs, special research costs, and other actual costs already incurred.

No successful bid, no sourcing fee.

9. Buyer Arranged Export

If the buyer chooses to arrange export independently, CarBike Japan’s export arrangement fee will not apply. However, actual costs such as inland transport, storage, document handling, courier fees, yard delivery, and handover-related costs remain the buyer’s responsibility.

CarBike Japan will release the vehicle and available documents only after full payment has been confirmed.

After the vehicle is handed over to the buyer’s nominated carrier, freight forwarder, yard, customs broker, shipping agent, or other representative, CarBike Japan is not responsible for shipping delays, customs issues, damage, loss, destination charges, import restrictions, or registration issues, except where caused by CarBike Japan’s intentional misconduct or gross negligence.

10. Final Decision

CarBike Japan may make operational decisions regarding bidding, cancellation, vehicle release, document release, refund handling, and cost deduction based on auction rules, payment status, available funds, timing, risk, and actual costs incurred.

This policy is intended to protect both the buyer and CarBike Japan by making the bidding and cancellation rules clear before any purchase action is taken.
